Geographic competition energizes your engagement efforts. Visually track Donations, Event registrations, Membership, and more, all with real-time updates. As alumni or supporters donate, register, or purchase a Membership, areas of the Map change the colors.

Adding Maps Content Modules

To add Maps from Content Modules:

  1. Click on the Content tab from the top toolbar. You can see a Content toolbar appears.

  2. Hover your mouse over Content Modules from the Content toolbar. A context menu appears.

  3. From the context menu, hover your mouse over the Scoreboards module. A fly-out menu appears.

  4. From the fly-out menu, drag and drop an AU Map, CA Map, US Map, or Global Map to your page.

Note: You can also add/remove Maps by enabling Content Builder mode.

Configuring Maps

To configure the Map module go to the Map module created on the page. You can see two options to work with:

We are going to discuss both options in this section.

Create New

  1. Click Configure Control gear icon mceclip1.png for the module. This opens the Configure Map page.

  2. Provide a Map Title. The Subtitle is optional.

  3. Set a Display From and a Display To date. These determine when the Map gets visible. Display To is optional; if you do not mention Display To date, the Map is visible forever until you mention the date.

  4. Set the Transactions From date and the Transactions To date. These determine the time frame of data to include. Transactions To is optional.

  5. Set the Time Zone. The default is the time zone set on your computer.

  6. Select the Primary Commerce Source. The choices are Events, Giving, and Memberships (if applicable).

  7. After selecting the Primary Commerce Source, you need to work with the Available Form(s) to select the form(s) that is going to provide the data to populate the Map. Use the arrow buttons to move form(s) from the left box to the right box. Only those in the right box are in use.

  8. Define the Styles for various elements.

    Note:

    • Picking Gradient Map or Breakpoint Map will provide additional options so you can control the map coloring.

    • The State Selection only applies to the US Map. This functionality allows you to create regional maps as opposed to using the full US Map.

  9. Click Save. Save closes the window and takes you back to the Content page.

Note:

  • Both free and commerce Events are supported in addition to Giving Forms and Membership Forms.

  • Profile state is used to populate the map, if there is no value in the profile state field, billing state is used.

  • Offline registrations, donations, and memberships are supported as long as the constituent form submission has been successfully completed by skipping billing on the admin side. In this example, the map will pull from the Home State and Country as long as the record has a value.

  • For the US map, you need to have both the Home State and Country fields.

  • Guests on event registrations and joint memberships keyed on a form are counted on the Map.

  • If a guest lives in a different state and you would like that to be represented, you may want to ask for Home State and Country on the Guest step of the Event form. If you don't, the system will look at the information for the main registrant.

  • Imported gifts will be supported as long as the constituent records have a value in Home State and Country.

  • To see all the transactions that are displayed in Maps look at the form data report and the reconciliation report for recurring payments in the respective transaction date range.

Saving Map Template

You can save the Map Template to use the saved template next time without creating the similar one from scratch.

When you create a New Map, click Save as Template option at the bottom of the page.

Note: When you try to save the Map Template with a duplicate name, Encompass will not accept and throws up an Error.

Create from Template

After you save the Map Template, you can see two options when you go to Configure Map next time. Use Create from Template if you want to reuse your already saved Template.

  1. Go to the respective Map from your Content Module.
  2. Click Configure Control gear icon mceclip1.png for the module. This opens the Configure Map page.
  3. Select the Create from Template radio button. This enable the options to select the saved Template.
  4. Select a saved template from the Template drop-down menu. You can see all the existing fields get updated with the predefined values present in the Template.

  5. Provide Map Title.

  6. Click Save to complete the configuration.
    Note
    : You can make changes to the selected Template. If you want to keep the changes, click Save as Template or Click Save to continue without saving the changes in the Template. Your changes will get reflected in the Map which you have configured.

Importing Data Into Map

The import tool is helpful for offline transactions, which you would like to include in your Map.

To import data into Map:

  1. Click on the Content module from the top toolbar.
  2. Identify the previously added Map module from the page.

     

  3. Click on the truck icon mceclip6.png for the Map module you want to import into. This moves to the Import Offline Transactions page.

  4. You can copy / paste the column headers provided on the Import Offline Transactions page into your file.
      • This tool is designed to allow you to upload a .csv file containing offline transactions.

      • You are limited to 10,000 rows of data in the file.

      • CONSTITUENT_IDENTIFIER: This is a free-form string value that is used to identify constituents uniquely. This will be used to reflect the total number of people or dollars accurately.

      • Geo_Location: Assigns participation and dollars to state/country. Format for the column must be a two-character country or state/province code. For example, you would the US for the United States or CO for Colorado. Country and State code lists are available at the bottom of the page.

      • AMOUNT: A dollar amount that needs to be allocated to a specific location.

      • Date_Added: The Date_Added column header must be present, but data is optional. The format for the column should be MM/DD/YYYY hh:mm AM/PM. This can be used to import transactions that will show up at a future time. If left blank, it will default to the current time and show up immediately.

      • If you need assistance in determining how to build the file, click on the green circle icon above the sample column headers.

      5. Upload or drag and drop the created file. Once the file is successfully uploaded, the file name displays in a green success indicator.

      6. You can delete the Imports; however, the data also gets removed from the Map module. Use the X icon to the left of a file name to remove.

Note: There is no confirmation message. Once you click the X icon to the left of the file name, the file gets deleted immediately.

  1. Click the Back to move back to the Content page.

Note:

  • You can only import CSV files.

  • Imported files only impact the specific Map you imported into.

  • Column headers are case-sensitive. Please use what is shown in the sample file.

  • If Date_Added is not present, then the system will add the current date/time. If an admin only puts MM/DD/YYYY (no time), then the system add midnight.
