On this page, provide the basic details of your email.

Email Name: This is the name that shows to admins. Your recipients won't see this name. It will appear on the Email Homepage, Email Marketing Reporting, Bounce Reporting, and the Calendar.

Email Description: The description is useful to admins if you want to have some information about this particular message display in the detail area.

Email Category:  Select an Email Category from the dropdown list depending on the subject/audience of your email.  The default category is General Information.
Email categories are used to group emails that are on similar subjects and to allow members to opt-out of specific categories (without unsubscribing from all emails), so they only receive the emails they want.

NOTE:  Email categories can be added/edited on the Email Marketing home page. Super Admins and Communications Admins have the ability to create new email categories.

Notification Email:  This email address will receive a notification email when the email has completed sending.  (For recurring emails, you will receive a notification each time the email is sent.)  This defaults to the email address of the email creator.  This field can be left blank if you don't want to receive notification emails.

From Name: This is the person / organization from which the email will appear to have come  (100 character limit).

From Email: This is the From Email address that will display in the email header, associated with the From Name above. This is a required field, and defaults to the email address on file of the admin creating the Email.  

  • Recently, Yahoo and AOL made policy changes to address increases in spam sent from fake email accounts made to look like accounts served by their domains ( or

  • iModules recommends that your organization use your institution’s email domain, or other private domains, as the “From Email” address when sending emails from the iModules platform. The “Reply To” email address can continue to be an AOL, Yahoo, Gmail, Hotmail, Comcast, etc. email domain.

NOTE:  From Name, Email and Reply to Email addresses:  For most email clients, these options control what is shown to email recipients.  However, some email clients will still show that the emails are coming from the admin that created the email instead of what is entered for these options. Also, depending on the email client used, replies could go to the From email instead of the Reply to email address. Since this is controlled by the email client, iModules will not be able to change what is displayed to the end-user.

Reply to: This is the Reply To address, the email address to which any users selecting 'Reply' in their email client program will send their reply email to. This is a required field, and defaults to the email address on file of the admin creating the Email.
If you do not want to receive replies, can be used for the "Reply to" address.

NOTE:  iModules handles all kickbacks.
Subject: This text will appear in the subject line of the email. (200 character limit)
The Community Name is automatically added to the Subject of all Email Marketing Messages as part of industry "Best Practices" (see below) to reduce the chances of Messages being marked as spam by email service providers and corporate/personal spam filters.

Token List:  You can add a token, such as First Name, to the subject line to personalize your email.  Select a token from the dropdown and click Select to add it to the subject line.  As a general rule, you should not use any symbols in the Subject Line other than brackets and tokens.

Email Subject Line Best Practices
The Subject Line of your email is an important part of determining how your email communication will be handled by various email service providers (Gmail, Yahoo Mail, etc.) We suggest that you utilize the appended name [in brackets] of your organization, or some facsimile, at the front of your Subject Line.  This will have a positive effect on the percentage of emails that are delivered to the inbox of the email service provider instead of into the spam box.

The default bracketed organization name is an additional means to provide proof to email service providers (ESP's) that iModules is an email sender of quality mail and practices, along with client address in email footer, good unsubscribe practices, and participation in Sender Score Certification.  There is additionally good evidence that this practice is also good for email marketing practices in general for driving open rates.  

Additional industry information on Email Subject Lines:

To trigger recognition, include your brand/business name in the subject line. Studies have shown a direct correlation between higher open rates and branded subject lines
For example, if you're emailing a newsletter, consider branding the email with the newsletter's name in the subject line [inside brackets]. According to Jupiter Research, "including the company name in the subject line can increase open rates by up to 32 percent over a subject line without branding."

Pre-header:  Short summary text that follows the subject line when an email is viewed in the inbox through mobile, desktop or web email clients.   These pre-headers give the recipient a sneak peak of what the email contains before they open it. Just enter the text into the field.  You can use tokens in the Pre-header field and there is a character limit of 150.

The Pre-header is not a required field and by default the field is blank. When using the View Email in Browser link it is a good idea to include the Pre-header text, otherwise the View Email in Browser link will be the verbiage that is displayed in the inbox preview.  (Email apps generally grab the first text in the email for the inbox preview.) This Pre-header text also provides a way to improve open rates via the short summary that appears in the inbox listing view of the email app.  The Pre-header verbiage will not appear in the email itself.  This means when the email recipient opens the email they will not see this verbiage on the email.

Email Footer:  Select an Email Footer from the dropdown list depending on the subject/audience of your email. Email Footers generally show the community name and address, etc. The default footer will be used if you don't make a selection.  Contact Application Support to add additional footers.

View Email in Browser: This option is checked by default to automatically include a link to an online version of the email.  A text field is displayed under this option with default View this email on a web page text which can be edited in the Link Text field.  All the verbiage in this text box will appear as a link centered at the top of the email.  All tokens and roles used in the email will work in the online version of the email.

Linking only part of the Text

If you would like to link only part of the text that goes to the online version of the email, we have created tokens that can be placed around the portion of text that should link.  The opening tag token is [viewemaillink] and the closing tag token is  [/viewemaillink].  If the admin enters the following into the View Email in Browser text field:  Having troubles viewing this email? [viewemaillink] View online [/viewemaillink]  The following will appear in the emails:

NOTES on the View Email in Browser Link:

  • The link does not work if you received the email because you are on the global BCC list unless the person is also an admin and logged into the site with their admin rights.
  • The link will not work if a recipient forwards the email to someone using the Forward to a Friend feature.  If the email is forwarded from the recipient email client, the link will work.
  • Preview Emails:
    • You must be an admin to view the link from a preview email.
    • You must be authenticated on the site domain for the link from a preview email to work.
    • If you send a preview email to several recipients using the Send Preview option, the link does not work if those users are not admins on the site.
  • Creating an email archive:  Do NOT grab the URL for this link to create a page for archived emails in your site map. If our system does not recognize that it had sent that particular email to a constituent, they will not be able to view the content on the page, and it will instead throw an error.   What we would recommend instead is to copy the HTML source code of your email preview and paste it into a CMS page that you have created.   All of your past email sends are available in the Email History grid, so you should be able to easily access past sends and build out your archive.  For more information, please contact your Account Manager.
