Add an Event Calendar Module

  • Navigate to the page where you want to add a Calendar.
  • Click the Content Modules dropdown menu.
  • Select Event Calendar and hover over it; the Calendar Type options will be shown. When you hover over an Event Calendar Type, the mouse cursor will change to . You can then click and hold on the Event Calendar Type to drag and drop it onto the page.  The module will be place above the area that is shaded in light blue.

Editing Calendar Items

  • Clicking the  will allow you to edit the item.
  • Clicking the  will allow you to delete the item.

Content Builder

Content Builder enables you to move, edit, and delete modules via a “floating” toolbar. The floating toolbar appears as you hover over each module. The floating toolbar icons that display will depend on the module and your administrative rights.

  • Click the Content tab.
  • Click Content Builder to make it active. The light bulb will change to yellow.
  • Click Content Builder again to make it inactive.

Edit Event Calendar Module

Click  to edit the module.

Content Module Name: Enter the name for this particular Listing/Calendar. You can also edit it.

Audience - Specify the audience who can see this content. You can allow everyone or only certain members to view the information.  The default is Everyone.

  • Everyone - Audience does not need to be logged in to view this content.
  • Logged In - Members must be logged in to view this content.
  • Role - Only members who fit the criteria for a certain role (i.e., Class of 1992, Current Students, or Female alumni) will be able to see this content.
    Choose from the previously created list of roles in the dual list box and use the 
    arrows to select. 
    • Deny Access to the following:  You may also exclude certain groups from the Audience by using this checkbox.  Then, choose from the previously created list of roles and use the arrows to select a group to exclude. 
      For example, you could include Everyone in the Audience except the Class of 2008:
          - Select Everyone in the first list box.
          - Click the checkbox to Deny Access to the following.
          - Select Class of 2008 in the second list box.

Display Options

    • Format Options:  Choose how you want to show the event.
      • Calendar Only:  This option displays a small calendar that is suitable for embedding in a template or other small content areas. The details for each date are displayed in small popups when the user clicks on each day highlighted as containing content.
      • Detailed Calendar:  Use this option for a full-page calendar, with details for each day's event listing and, if applicable, schedule content.
      • Calendar with Listing:  This displays the calendar and schedule content items in a listing format with a small calendar associated with it.  The small calendar also supports the same popup functionality for dates that contain content.
      • Listing Only:  Displays the content items in only a Listing format, with no associated calendar. Use this option to apply custom patterns in the next step.
    • Display Limit: Enter the number of event listings you would like to have displayed on the page. If you have lots of events or other content on the page, this is an excellent way to limit the amount of space taken up by events.
    • Order By: Options are Custom, Reverse Chronological, Chronological, or Content Name (alphabetical). 
      • Reverse Chronological - Show the most recent items at the top of the listing - this is the default mode for News Listings, so that the most recent News article appears at the top of the Listing.
      • Chronological - Shows the items in the order that they appear in terms of dates ( today's items first, followed by those for tomorrow etc. ) This is the default mode for Event listings.
      • Content Name - Organizes the items alphabetically.
      • Custom - Select this if you want to apply your own custom sort order to a listing. If enabled, an additional sorting icon will appear where you can set your sort order for the listing items.
      • Group by Date: This organizes the items so that they are grouped by their assigned dates - such as all items for 3/1/08 then all items for 3/2/08, etc.
    • Enable Rolling Dates: Enables the content and the calendar to automatically rollover to the new month/year. This setting determines if the Listing will show only the current week or monthly listing of items, via the date filter, or if it will show 7 days or 30 days out from the current date.  For example, enabling this setting means that the Listing will show all items in a monthly view 30 days out from today; but if not enabled, the it will show only those items, both past and upcoming, for the current month.

    • RSS Options
      • Enable RSS:  Use this checkbox to enable or disable an RSS Feed for the Listing/Calendar.  Checking this option puts an RSS icon at the bottom of the Event content block and allows users to sign up to automatically receive the RSS feed of this information.
      • Enable Custom XML: Enables you to reuse text.  For Admin use only. This enables client developers to define their own custom XML output for this Listing/Calendar.  This option only appears on the web site to authorized administrators.
        • NOTE: this is something you will need to develop on your own. You will need to find and configure an application to consume the feed.
    • Filter Options:  Selecting one or more of these options will put a drop-down menu at the top of the Event Listing to filter the events shown.
      • Show Date Filter:  Filter events by date. Provides users the ability filter the Listing/Calendar by weekly or monthly views.  This also uses the Enable Rolling Dates setting above.
      • Show Content Filter:  Filter events for specific content. Provides users the ability to filter the Listing/Calendar content by the various Content Types that are included in this particular Listing/Calendar.
      • Show Archive Filter:  Filter archived information. Provide users a dropdown filter for retrieving archive content.  The admin view of this filter includes any future items to be published at a later date.
      • Show Title:  Selecting this option puts the page title above the Event Listing or allows you to enter a custom title using the content editor. Use this option and custom tokens to format the heading of the Listing/Calendar.The available tokens are in the Tokens dropdown embedded in the content Editor. These tokens will display a data range based on whether the Enable rolling dates setting is on or off. 
        If on, then the date range will be from today's date to 30 (or 7) days out.
        If off, then the date range will be just for that current month (or week).

        The short or long version of the token refers to the display as 12/14/08 or December 14, 2008.

Content Options can also be modified.

      • Content Types: Use the multi-select list box to identify which of the available Content Types you would like automatically included in this Listing/Calendar.  Use the Ctrl or shift keys to select / de-select multiple items in this list.
      • Include Schedule Content: Select Schedules that should have their content displayed in this Listing/Calendar. If you want to pull all Schedules in your system to this Listing/Calendar, including any Schedules created in the future, check the box Include all Teams/Organizations.
      • Community Content Options: Indicate if you want Community Events (Event Calendar) created in the legacy systems of the Online Community so that it can automatically gets included in this Listing/Calendar.

 

NOTE: The Include Schedule content area allows you to pull the schedules for Teams/Organizations into a calendar. If you want to pull in all Teams/Organizations, check the box to the right of the listing.


Import Event Calendar Announcement Listings

This function allows you to import a .csv file of Event Calendar Announcement listings easily. Once you have imported the file, you can click on the event listing to edit and add additional details.

  • Activate Content Builder (by clicking on the tab) to get started. Click to import Event Calendar announcement listings.
  • Select Import File: Click Chose File to select the file that contains the listings you want to import.
  • Make Event Listing/Calendar Assignments: Select the Listing and/or Calendar assignment for your events. All events in the import file get assigned to these selected calendar listings. Use Ctrl or Shift keys to select more than one event listing or calendar assignment.
  • Click Import Events.

Import File Format Tips:  

  • CSV file format is required.  File must include these columns:
  • Event Name
  • Start Date: (format is MM/DD/YYYY)
  • End Date: (format is MM/DD/YY)
  • Start Time: (format is hh:mm AM or PM)
  • End Time: (format is hh:mm AM or PM)
  • Display Start Date: (format is MM/DD/YYYY or leave blank)
  • Display End Date: (format is MM/DD/YYYY or leave blank)
  • Event Summary
  • The industry standard for handling quotes in your data is to double quote your imbedded quotes. For example:
    Event Name
    Incorrect Format - "Students vs. Faculty "All-Star" Basketball Game"
    Correct Format - "Students vs. Faculty ""All-Star"" Basketball Game"

Export Event Calendar Announcement Listings

This function allows you to export a .csv file of Event Calendar Announcement listings easily.

  • Activate Content Builder (by clicking on the tab) to get started.  Select the export   icon. 
  • Export Events From to: Select a date range for the Event Calendar Announcements to be exported. If no dates are selected, the system exports all listings.
  • Select Event Listing/Calendars to Export: Select the Event Listing Type(s) you want to export. Use Ctrl or Shift keys to select more than one event listing or calendar.
  • Click Export Events. This exports a .csv file.
