Constituent Management View

The Constituent Management View functionality provides several benefits.

  1. Improved search makes it easy to find member and non-member records based on first name, last name, email address or unique ID.
  2. Creates a unified point of entry for interactions with or on behalf of a person.
  3. Streamlines the process for taking actions as the constituent in the system.

Accessing

From the Members menu, choose Member Look-up. You will then be moved to a search page.

Searching

There are three different ways to search.

Option #1: Search Members
The default search window is shown below. The Include non-member records box is checked by default.

Enter the values you want to search on and use the Search button. Results will be shown under the search boxes.

Click on the name of the person you want to view. You will then be taken to the member data screen for the individual you clicked on.

Option #2: Member Id Look-up

This search will use the iModules Member ID.

Enter the iModules Member ID you want to search on and use the Look-up Member button or press the Enter key. You will be taken to the member data screen for the individual you searched for.

Option #3: Constituent ID Look-up

This search will use your unique ID that is the primary key used in the data sync process with Encompass.

Enter the ID you want to search on and use the Look-up Member button or press the Enter key. You will be taken to the member data screen for the individual you searched for.

Member Details

The Member Details area provides core member information.

The Email will show a green icon if the email address is valid. There will be a red icon if the email address is invalid.

Options

The Options area allows you to work with the person selected. Each option will be explained below.

Community Profile - will move you to the end-user view of the person's profile

Edit Member - will move you to the Profile form as an admin so you can edit the person's profile data.

Member Site Statistics - will move you to the Member Site Stats area.

Photo Albums - will move you to the Member Photo Album area for the person you are working with.

Community Admin Rights - will move you to the window where you can assign gold key rights to this person.

Reset Password - will move you to the reset password screen so you can send the person an email allowing them to reset their password.

Member Actions

The Member Actions area allows you to take actions for the person selected. Each action will be explained below.

Fill Out Form - will move you to the Forms homepage so you can select a form to complete on behalf of this person.

Register For Event - will move you to the Events homepage so you can select an event and register on behalf of this person.

Make Donation- will move you to the Campaigns homepage so you can select a campaign and make a gift on behalf of this person.

Sign Up for Membership - will move you to the Memberships homepage so you can select a membership campaign and make a purchase on behalf of this person.
NOTE: The Membership option will only display to clients who have the Membership module.

History

The History area allows you to drill into specific areas to view the history for the person selected. Each option will be explained below.

Member Data Change - will move you to the Data Change History tab for this person.

Forms - will move you to the Forms History tab for this person.

Events - will move you to the Event History tab for this person.

Online Giving - will move you to the Campaign History tab for this person.

Communications - will move you to the Communications tab for this person.
